    How To run an Event

    Thinking of running an event? This page is here to help you organise and plan an Arrowsreach event. Getting an event approved and advertised in Pegusus is a simple 3 step process. The steps involved are:-

    Step 1: – Contact Arrowsearch’s Event Coordinator (Bliss/Narelle blissteine@yahoo.com) and ask her to schedule a date on the Arrowsearch calander. You will need to know the date when making enquires about the availability and cost of venues. Most local city council web sites have details of venues for hire. The Festocrat will need to know details of the kitchen's facilities eg. Oven, stoves, warmers and cold storage.

    Step 2: – Complete and print the Pegasus Event Form and pass it onto Arrowsearch's Seneschal (Jason) as his signature is required before it will be published in Peguasus.

    Step 3: – Complete the “Event Calculator” print it out and pass it onto the Reeve (Jared) for approval. Please make sure your feast steward agrees with the food budget per head.


    When it comes to creating a financial plan, and to make sure you break even or turn a profit, we provide a simple Event Calculator that you can use to enter various costs and charges, and when you are happy you can submit this directly to the Reeve.

    Points to remember when using this tool:
    • Expense items should be entered as positive numbers. They will automatically become negatives in the spreadsheet.
    • If you expect the royalty to attend your event please indicate “Yes” in the Kingdom Event field.
    • There are four fields for additional costs.
      • Two are for fixed cost expenses, two are for 'per head' expenses.
    • Please make sure your feastocrat agrees with the food budget per head.
    • Clicking submit will email the form to the local reeve.
      • Ensure all details are accurate to avoid having to submit twice.
    • Please include your name, email address and the event name to help the officers.
    • Click print before submit so you have a paper copy for your records.
      • If it is more convenient you can give this to the reeve instead of submitting online.
    • Always keep a copy for yourself!
